How to contact us about privacy

For privacy questions or requests, email contact@maximummatting.co.uk.

What data we collect

  • Contact details: name, company, email address, phone number.
  • Enquiry content: any message you submit and related project notes.
  • Files you upload: drawings, PDFs, images, or ZIP files you attach to an enquiry.
  • Order and delivery details: when you place an order — your name, email, delivery and billing address, phone (if given), the items ordered and the amount charged. Payment is handled by Stripe; we never receive or store your card details.
  • Basic metadata: page URL/title and browser user agent to help diagnose form issues and route your request.

How we use your data

  • To respond to enquiries and provide quotes/specification packs.
  • To take payment, process, fulfil and deliver your order, and to send order and delivery updates.
  • To handle returns, refunds and any after-sales support.
  • To provide technical support relating to matting selection and planning.
  • To maintain records for quality, continuity, and our legal, accounting and tax obligations.
  • If you opt in, to send relevant updates (you can opt out at any time).

Lawful basis (UK GDPR)

We process personal data to respond to your request (performance of a contract or steps prior to entering a contract) and for our legitimate interests (supporting customers and improving our service). Where required, we rely on consent (for optional marketing updates).

Sharing and processors

We share personal data only with the service providers we use to run the website, take payment and fulfil orders. We do not sell your personal data. Our main processors are:

  • Stripe — payment processing. Stripe handles your card details directly under its own privacy terms; we receive only the order and payment-status information, never your card number.
  • Resend — sending order confirmation and notification emails.
  • Cloudflare — website hosting, content delivery and security.

Some providers may process data outside the UK/EEA; where they do, appropriate safeguards (such as UK/EU-approved transfer mechanisms) apply. We may also disclose data where required by law.

Retention

We keep enquiry data for as long as needed to respond and maintain business records. Order and transaction records are kept for around six years to meet our accounting and tax obligations. If you want us to delete information, contact us and we'll handle the request where we can, subject to those obligations.

Security

We use appropriate technical and organisational measures to protect data. No method of transmission or storage is 100% secure, but we work to reduce risk.

Your rights

Depending on your situation, you may have rights to access, correct, delete, or restrict processing of your data, and to object to certain processing. To make a request, email contact@maximummatting.co.uk.

We may update this policy as our website and processes evolve. The date at the top indicates the most recent revision.
